The Opportunity

This is a key Operations continuous improvement role with responsibility for Ensuring the smooth day-to day running of firm specific systems & application, which include their Website, CRM, Client Portal and Practice Management System (PMS). The role also helps in delivering on continuous improvement priorities and initiatives around optimising the efficiency and effectiveness of the Website and PM . This position also supports the Head of Legal Operations with management reporting on key business metrics.

Key Accountabilities

  • Deliver on business or user priorities to implement new workflows or optimise existing workflows within the PMS

  • Ensure effective Website and PMS system administration, including providing user level system access, implementing role-based permissions and monitoring system performance

  • Generate consolidated reporting across legal operations (via the PMS) and the overall performance of our core systems (Website, CRM, Client Portal, PMS) on a daily, weekly and monthly basis. First level support and updating the website, client relationship management system (CRM), client portal and legal practice management system (PMS).

  • Act as the primary interface to resolve user escalated technical issues around core firm specific systems & applications; working collaboratively with the internal Group Technology function or our 3rd Party partners

  • Facilitate updates and enhancements to our member & client facing website, working collaboratively with our Head of Service Delivery, Head of Marketing and the Group Digital Marketing team

  • Provide practical help-desk type knowledge and support on the PMS and assist with user training (Note - formal user help desk/technical support for the PMS will be delivered by a partner of the PMS provider)

  • Maintain a business technology roadmap (new features, enhancements, new application); and work with the Head of Legal Operations and other functional heads to triage and prioritise

  • Help in the investigation and resolution of website issues reported by clients or other sources within a timely manner, and escalate if necessary

The ideal candidate for this role will have:

  • Bachelor/Diploma in Computer Science or similar subjects

  • Proven 2-5 years of experience as an IT Support Officer or System Business Analyst

  • Intermediate to advanced skills in website administration and workflow configuration

  • Intermediate skills with content management software ideally Ektron or SiteCore

  • Intermediate to advanced skills in Power BI

  • Intermediate to advanced, Microsoft Office skills (Word, Excel, PowerPoint Outlook).

  • Experience with continuous improvement and project management and Exposure to cloud based Legal Practice Management Systems (ideally ActionStep) is an added advantage.
